Welcome back to another school year! We hope you all had a SUN-tastic summer! This year we have an exciting new feature to introduce. We are thrilled to share the new P4SS Wallet! The wallet is a prepaid account for your students. Parents can load money onto their students accounts the same way they pay for other items. This lump sum will be loaded to the student wallet and ready to use on designated wallet items. You control which items can be purchased via the wallet.
We have also created a Fundraiser option. This will allow you and your parents to keep track of how much money has been added toward the student’s fundraiser totals and track the top 25 students! Simply check the box inside the Item Creator that says Fundraiser!
Wallet Controls
Wallet settings can be accessed in two places. The first place you will see a link is in the header of your homepage. The second place is located under Coordinator Options > Wallet.
The Total Balance reflects the balance of ALL student wallets combined. It is the amount of money the school has received for all wallet pre-paids. You can see a breakdown of each student wallet by clicking the View Balance by Student link. Search for a specific account using the Parent and Students drop-down menu. Students with active wallets are also shown on this page. Use your browsers back arrow to navigate back to the wallet homepage.
When the wallet is disabled (see image 1) parents will not see an option for the Wallet next to the student’s name on their homepage. When the wallet is enabled (see image 2) parents will have a Wallet icon next to each student on the parent portal. This button allows them to access the wallet and load a designated amount to the students account. They will also be able to view any purchase transactions made from the wallet. Please note, every student has a unique wallet. Parents will need to load money PER student.
The Wallet Limit is a set amount each student can have loaded Into their wallet. Parents can load up to the amount you have set for the limit. You can edit the wallet limit to any amount you deem appropriate and can adjust this amount at any time. By default wallets are set at $500.00.
Finally, you can control how the processing fees are distributed. By selecting parent, fees will be added to their total at checkout. For example, if they load $100 to the wallet they would be charged $103.25 at checkout. Otherwise, select school to receive the amount loaded less the processing fee.
Creating Wallet Items
From your home page, navigate to the item creator to make any previous or new items available for purchase via the Wallet Point of Sale or marked as a Fundraiser Item.
Once an item is marked as a fundraising item, parents will have a Fundraiser button next to the students name. These marked items will be viewable and tracked on this page. You must enable the wallet for your organization before parents will see the Wallet icon on their homepage. Once items are marked available for sale via the Wallet, you can now use your students balance to purchase these items.
Wallet Point of Sale Page
Now you’re ready to get started! Your items will be visible on the Wallet Point of Sale page. Select the corresponding parent and student from the drop-down menu. The amount in their wallet will appear on the left once you have selected the student. Select the items by changing the quality, the subtotal will adjust accordingly. Enter an email for receipt, if desired. Then click Pay Now.
Once the item(s) have been successfully purchased, you will see a confirmation banner at the top of the Wallet POS Homepage.
The system will not allow a students wallet to go negative. If there is not enough money to cover the purchase, an insufficient funds error will pop up after clicking Pay Now.
Wallet Report Options
Your deposit reports will include the whole amount parents load to the wallet. All purchases/deductions from wallets are tracked separately. You can view wallet transactions in two ways. Once items have been successfully purchased via the wallet, it will appear as an item on the reports page. Run a report for select items by date, enter a date range or leave the fields for all transactions, select wallet collector item, then click generate report. You can now email, export to excel, or print the report!
